There are two ways you can transport your bike via train - luggage transport or parcel transport. I usually prefer it via parcel, as it’s more cost-effective. However, the delivery is often delayed in this method. I have shared both the processes below along with a few other relevant information related to how to transfer bike in train, such as documents required in the process and the booking process.

How to Send a Bike Through Train?

Since I prefer sending my bike as a parcel, I have shared the process of the same below.

  • Visit the parcel office about 2 days before you plan to send your bike. Carry all the relevant documents with you.

  • You’ll get a parcel form, where you need to fill in the details regarding your bike. Then, pay the charges for the parcel.

  • Then, create an identification mark on your bike, for easy identification during delivery.

  • You can track the progress through the parcel company’s website.

So, this way you can send your bike through the train. 

Relevant Documents Required for Bike Transportation via Train

There are three mandatory documents that you need to show at the parcel office:

  • Registration certificate of the bike

  • Insurance details of your bike

  • Government issued ID proof

Additionally, the form that you fill should contain all the required information, such as your name, address, destination details, contact information, etc. 

Cost of Bike Transportation by Train 

There are three types of charges involved here. Packing, delivery, and insurance charges. 

  • Packing cost is usually between Rs. 300 to Rs. 500.

  • Delivery cost will depend on your bike’s value and the distance to the destination.

  • Insurance charges also depend partially on your bike’s value. If the price of transport declaration is up to Rs, 10,000, there is no extra cost. It will increase by 1% if this amount is more.

Hi Tejas. As a bike rider, thus I found it quite difficult to get them to tournament locations. That was until a fellow rider informed me of a simple solution. He gave me advice on how to transport bike in train. It's not too difficult to send a bike onto a train by following the steps I mentioned below. However, there are certain guidelines that must be adhered to.

How to Send My Bike through Train?

The following are the steps I usually follow to send my bike through train:

  • During working hours, I first ride my bike to the parcel office, which is located at the most significant main railway station.

  • Then I register a bike as a parcel. 

  • To avoid having to wait a few days for a reservation, I always make sure to go for at least two to three days in advance.

  • I then take the delivery challan slip.

  • Finally, my bike gets delivered on any train to the destination station. It usually arrives in four to five days, or sooner, depending on the distance travelled.

Last year, I sent my bike via train from Delhi to Chennai because I believed it to be the safest mode of transportation; hence, I can guide you on how to send bike by train. The charges for it were quoted to be between Rs 6,000 and Rs 8,000 and I had to pay around Rs 7,200. The rate basically depends on three main factors: distance travelled, through which train you are sending it and weight of your bike so you better enquire about it at the station. You can either transport the two-wheeler as a parcel or as a luggage. Let me elaborate a bit about both methods here.

How to Send Two Wheeler by Train as Parcel?

If you are not travelling by the same train via which you want to deliver the bike, you can transport it as a parcel. Here is what you will need to do in that case:

  • Book the two-wheeler as a parcel

  • Visit the parcel office with Xerox copies of the two-wheeler’s registration certificate and a Government ID proof

  • Empty the tank of the two-wheeler and make sure to pack the two-wheeler properly before booking

  • Mention the originating and destination place, postal address, make of vehicle, registration number, weight of vehicle, value of the vehicle, etc. on a piece of cardboard and tie it to the vehicle

The next steps will be carried out by the railway officials like loading and delivery of your vehicle on time. 

How to Send Two Wheeler By Train as Luggage?

If you are travelling by train and want your two-wheeler to be transported by the same train only, then you will have to:

  • Book your two-wheeler as luggage

  • Be present at the station at least half an hour before the train’s departure time

  • The packaging and labelling processes remain the same as I mentioned above

  • Produce the journey ticket at the time of booking your vehicle as luggage

  • Get the luggage ticket after paying the prescribed fee

  • Show the ticket and the luggage approval for delivery and remember that the luggage ticket needs to be surrendered.

So these are the two ways to send a bike by train. To be honest I did not have quite a pleasant experience with my bike transportation via train. It is

  • Lengthy

  • There is limited space availability

  • Has a risk of damage and 

  • Provides inflexible scheduling

The process of learning how to transport bike by train is pretty straightforward. I sent my vehicle to another state in August last year by train. So, let me share how I went through the process.  

How to Send Bike in Train?

  1. To start off, you first need to visit the train station from where the goods train travels to your desired city. You’d have to do this in case of multiple train stations in the city. You can find out by calling the parcel office of each train station.

  2. After you’ve figured out the train station, visit their parcel office. You must do this step a month in advance, as it can be a possibility that all the slots are booked. At the office, you need to ask the official to make a receipt for the bike transport. They’ll ask for some details related to the transport along with your valid ID. You need to make the payment for the transport and take the receipt with you.

  3. On the specified date of transport, take your bike to the station with an empty fuel tank. This is important as the officer would test that your vehicle doesn’t start. Only then the permit to transport it will be given. At the parcel office, you’ll find designated people to pack your vehicle. You’ll have to give them a separate charge for packing the vehicle. You’ll have to write the recipient's name, their contact number and the destination name on the front side of the bike in an easily readable manner.

  4. Once everything is done, the officer tests that the fuel tank is empty. Your vehicle is ready to be transported.

  5. Leave the handle lock on and take the keys with you.

  6. Once the bike reaches the destination, you’ll be called to the station to pick up the vehicle. Carry petrol with you to fill the tank and ride it back home.
